1. Your content stays yours — AI processing
Courseware Studio generates course content using commercial APIs from Anthropic (Claude), Google (Gemini), and OpenAI (ChatGPT models). We use the paid, commercial API/business tiers of these services exclusively. Under their published terms and default business/API settings, these providers do not use API inputs or outputs to train their models.
Specifically:
- Anthropic API:Inputs and outputs are not used to train Anthropic’s models under their Commercial Terms. Anthropic automatically deletes API inputs and outputs from their backend within 30 days of receipt or generation, except where required for usage-policy enforcement or by law. - Google Gemini API (paid tier): When billing is enabled on a Google Cloud project, prompts and responses are not used to improve Google products or train models. Courseware Studio operates exclusively on the paid tier. See Google’s terms →
- OpenAI API (ChatGPT models):By default, OpenAI does not train on inputs or outputs from its business products, including the API. OpenAI API customers may opt in to data sharing; Courseware Studio does not opt in to provider data sharing. When Quick Start is used, the course title, description, objectives, target version, and audience information may also be sent to OpenAI's web-search capability to identify public authoritative-source candidates. - Courseware Studio: We do not train any AI model. We do not retain your course briefs, special syllabus instructions, or generated content for any purpose other than delivering and storing your course as described in Section 2.
This data-handling policy does not transfer ownership of your original materials. You keep ownership of the source content you provide, and generated-output usage rights are governed by the package or written agreement you purchase. You may use Courseware Studio with internal product documentation, subject-matter-expert content, unpublished books or manuscripts, and organizational training material under standard commercial confidentiality expectations. 2. Data retention & purge policy
We enforce a defined retention schedule for projects and generated course files:
- Free syllabus window: An unapproved syllabus project is retained for 14 days after successful syllabus generation. Approval starts a fresh 14-day window. An approved syllabus may be extended in 14-day increments from the project page before expiration.
- Syllabus reminder and deletion: We attempt to email the account holder approximately two days before the current syllabus expiration. When the active window closes, the syllabus project and its associated project content are permanently deleted.
- Download window: Generated course files are available for download for 14 days following completion.
- Purge countdown: After the initial 14-day window, a 30-day deletion countdown begins.
- Permanent deletion: Course source content, generated course content, project media, and generated deliverable files are permanently purged from our active project storage after this total 44-day period.
- Extensions: You may request an extension of this storage period by emailing support before the purge is complete.
Account data (name, email, organization) is retained while your account is active. If you close your account, account data is deleted within 30 days, except where retention is required for legal, tax, or accounting obligations.
Transaction and contract evidence is retained separately from course content when reasonably necessary to document purchases, credit or voucher redemptions, approved project scope, policy acceptance, service delivery, fraud prevention, payment disputes, and legal, tax, or accounting obligations. These records may include timestamps, policy versions, payment or Stripe Checkout identifiers, consent status, IP address, browser user agent, package and pricing information, and cryptographic hashes of the approved syllabus and course settings. A cryptographic hash is a verification value and does not contain a readable copy of the syllabus or course content.
3. Information we collect & lawful basis
We collect the following categories of personal data:
- Account data: name, email address, optional organization name, password hash. Used to provision and secure your account.
- Project data: course briefs, special syllabus instructions, and any content you submit to the generation pipeline. Used solely to generate your course.
- Payment data: handled directly by Stripe. We do not store full credit card details on our servers; we receive payment confirmation, Checkout and payment identifiers, payment status, consent status, and limited receipt information supplied by Stripe.
- Purchase and approval evidence: package and price information, voucher or production-credit details, policy versions and acknowledgements, syllabus and course-setting hashes, approval and checkout timestamps, IP address, browser user agent, and related contract records. Used to document authorization, the approved project scope, immediate service performance, and delivery or remediation obligations.
- Operational and service-use logs: request timestamps, IP address, browser user agent, pipeline status, deliverable generation and download activity, Courseware Editor and Rev workflow activity, and security events. Used for service delivery, support, security, abuse prevention, reliability, and payment-dispute evidence.
Lawful basis (GDPR Article 6): We process account and project data on the basis of performance of a contract(Article 6(1)(b)) — you have signed up to receive a generated course. We process operational logs and security data on the basis of legitimate interests (Article 6(1)(f)) in maintaining a secure, reliable service. Purchase, approval, and transaction records are also processed as necessary for contract performance and our legitimate interests in documenting authorized transactions, preventing fraud, resolving disputes, and complying with legal obligations. We rely on your consent (Article 6(1)(a)) for any optional processing such as marketing communications, which you may withdraw at any time.
4. International data transfers
Software Tutorial Services LLC is based in the United States. Personal data submitted to Courseware Studio is processed in the United States by us and our sub-processors (see the Sub-processors page). For users in the European Economic Area, the United Kingdom, or Switzerland, transfers rely on the standard contractual clauses incorporated into our sub-processor agreements. A signed Data Processing Addendum is available to business customers on request — see the DPA page.
5. Your rights
Subject to applicable law, you have the following rights with respect to your personal data:
- Access: request a copy of the personal data we hold about you.
- Rectification: request correction of inaccurate or incomplete data.
- Erasure: request deletion of your personal data, subject to contract, payment-dispute, fraud-prevention, tax, accounting, and other legal retention requirements.
- Portability: request a machine-readable export of your account and project data.
- Restriction or objection: request that we limit or stop certain processing, including a right to object to processing based on legitimate interests.
- Automated decisions: if you believe an automated decision by our platform has materially impacted your account or access, you may request human review.
- Complaint: EU/UK residents may lodge a complaint with their national data protection authority. California residents have additional rights under the CCPA/CPRA, including the right to know, delete, correct, and opt out of the sale or sharing of personal information.
To exercise any of these rights, email support@coursewarestudio.ai. We will respond within 30 days. Our website honors Global Privacy Control (GPC) signals; we do not sell or share personal data with advertisers in any case.
6. Children’s privacy
Courseware Studio is intended for use by adults in a professional or commercial context. The service is not directed to children under 18, and we do not knowingly collect personal data from minors. If you believe a minor has provided us with personal data, contact support@coursewarestudio.ai and we will delete it promptly.
7. Cookies
We use only strictly necessary cookies to operate the platform and process payments securely. We do not use advertising or third-party tracking cookies. For the full list, see our Cookie Policy.
8. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our practices, sub-processors, or applicable law. Material changes will be communicated by email to active account holders and posted to this page with an updated effective date at the top. Continued use of the service after the effective date constitutes acceptance of the revised policy.
